Summary

We’re seeking a detail-oriented, proactive Service Order Processor for our Service division. In this role, you’ll manage customer and internal orders from entry through delivery, ensuring accuracy, coordination with vendors, and seamless communication across teams.

Minimum Qualifications

  • 2+ years of order processing, operations, or related experience (manufacturing, building products is a plus)
  • Strong technical aptitude and attention to detail
  • Proficiency in Excel; familiarity with Salesforce or order systems
  • Excellent communication (verbal & written) and stakeholder management
  • Ability to manage multiple priorities in a fast-paced environment
  • Analytical mindset, problem-solving skills, and ability to escalate appropriately

Knowledge, Skills and Abilities

  • Experience with custom windows & doors / architectural specification
  • Understanding of hardware, frame systems, and installation practices
  • Experience working with vendor portals / APIs
  • Familiarity with reporting / metrics tools and process improvement
  • Strong organizational skills, follow-up, and attention to detail
  • Ability to adapt well and accept feedback in a changing environment
  • Flexible and resilient to adapt to multiple demands, shifting priorities, and changing business conditions
  • Ability to work independently and collaboratively across departments

Supervisory Responsibilities

 

Essential Functions

  • Accurately enter and validate customer orders (dimensions, hardware, glazing, finish)
  • Clarify ambiguous specifications with appropriate parties involved
  • Coordinate with multiple window/door manufacturers and suppliers—confirm lead times, pricing, and availability
  • Track order status, resolve delays or issues, and communicate updates to stakeholders
  • Work with production, installation, warehouse, and logistics teams to ensure orders flow smoothly
  • Generate reports on backlog, order accuracy, lead times, and performance metrics
  • Perform error coding, assign, and audit billable items
  • Identify process improvements to reduce errors, speed throughput, and enhance customer satisfaction

Work Environment

  • Office Setting: Much of the work is conducted in an office environment, where the Service Order Processor performs various administrative tasks related to processing service orders.
  • Desk Work: Extended periods of time spent at a desk, using a computer, and engaging in administrative duties such as order entry, scheduling, communication, and data analysis.
  • Computer Use: Regular use of computers and office software to manage order-related information and update databases.
  • Phone Communication: Engaging in phone communication with vendors, internal teams, and other departments to coordinate orders, address inquiries, and provide updates.
  • Collaboration: Working closely with production, installation, and warehouse teams to ensure effective communication and coordination of service activities.
  • Problem-Solving: Addressing order-related issues, identifying solutions, and ensuring that service orders are processed efficiently.
  • Adaptability: Adapting to changes in schedules, vendor lead times, customer needs, and other dynamic aspects of processing service orders.
  • Data Entry: Entering and updating service order information in the company's systems and databases.
